Munich Re Japan Branch was established in July 2017 as a composite reinsurance branch in order to serve both life and non-life clients in the Japanese market. The Japan Branch is given the full mandate necessary by Munich Re’s board to run the business in Japan and it is staffed with highly skilled world class professionals in diverse disciplines.

Japan is a very important market for Munich Re and the establishment of the Japan Branch represents Munich Re’s continued and even stronger commitment to the Japanese market.

We are looking for a Team Assistant, reporting to the Head of Client Management Japan. You will be responsible for providing key administrative and logistical support mainly for the Client Management Team based in Tokyo. The role requires strong organizational skills, proactiveness, attention to detail, and the ability to handle multiple tasks effectively.

Your Role

  • Work closely with Client Management colleagues to provide all aspects of administrative coverage for day-to-day tasks (e.g. Christmas card organizations, Munich Re (MR) client seminar/event organization, MR visitors coordination and logistics, restaurant bookings, gift/souvenirs preparation and wrapping for clients, travel bookings, translation support for simple documents, etc).
  • Timely submission of all expense claims especially for senior members of the Client Management team.
  • Update and manage various client databases (e.g. Company Information Profiles, Client anniversaries and key client birthdays, Client Annual report summaries, business card scanning etc).  
  • Work closely with other Assistants in the Japan Branch as needed e.g. during the organization of a company-wide event.
  • Foster close client relationship (at equivalent level with client side) to ensure a smooth working relationship in coordination matters with clients.
  • Effectively maintain and manage the calendar of Head of Client Management Japan by planning and scheduling meetings, conferences, teleconferences and travel bookings, with consideration of multiple trips, time zones and priorities.

Your Profile

  • Minimum 5 years of relevant Assistant experience in a fast-paced and dynamic environment.
  • Professional and committed to producing high quality work.
  • Strong organizational skills with exceptional attention to detail.
  • ‘Can-do’ mindset and self-motivated.
  • Collaborative team-working mindset to proactively offer flexible support to other colleagues in the team.
  • Excellent reporting and presentation skills.
  • Strong travel arrangement capability.
  • Excellent time management skills, including managing multiple priorities with the flexibility in shifting focus and priority according to business needs.
  • Good problem-solver and can help to alleviate admin issues from senior leaders.
  • Strong verbal and written communication skills in both English and Japanese.
  • Proficient in Microsoft Office applications.
