Our office is responsible for Mexico and Central America. Based in Mexico, this role is part of the administrative support team and is fully dedicated to providing high-level executive and administrative assistance to General Management within an international environment.

As Executive Assistant, your focus will be on day-to-day executive support, ensuring efficiency, organization, and reliability. You will work closely with senior leaders across Munich Re Group—particularly in Germany and Latin America—while building professional and courteous relationships with internal and external stakeholders, enabling leadership to focus on strategic priorities.

Your Job

You will provide comprehensive administrative and organizational support to the CEO, including:

  • Managing internal and external agendas, calendar coordination, distribution lists, subscriptions, and memberships
  • Independently handling administrative processes such as travel arrangements, client meetings, and expense reporting
  • Acting as a point of contact for clients and visitors
  • Maintaining and regularly updating contact databases
  • Preparing, coordinating, and following up on local and regional meetings (logistics, materials, and documentation)
  • Creating and editing presentations (PowerPoint) and documents (Word)
  • Organizing and maintaining files in a structured and secure manner
  • Monitoring administrative processes, managing deadlines, and tracking team requests
  • Providing backup support for the Events & Communications Consultant during absences
  • Leveraging IT tools and systems to effectively support daily operations

Your Profile

  • Bachelor’s degree in any discipline or solid professional experience as an Executive Assistant
  • 3 to 5 years of experience in executive and administrative assistance, preferably supporting senior management in an international environment
  • Strong executive presence and a high level of professionalism when interacting with senior leaders and external stakeholders
  • Highly organized, reliable, and detail-oriented, with excellent follow‑up skills
  • Strong service mindset with the ability to anticipate executive and administrative needs
  • Proven ability to handle sensitive and confidential information with discretion
  • Proactive, self-motivated, and accountable, with a hands-on support approach
  • Excellent communication and intercultural skills
  • Ability to manage multiple administrative tasks simultaneously, prioritize effectively, and meet deadlines
  • Solid understanding of basic budgeting and administrative processes
  • Strong affinity for IT tools and systems; advanced proficiency in MS Office, SharePoint, Teams, dashboards
  • Excellent command of Spanish and fluent business English (written and spoken); German is a plus
