As HR Services Administrator – EULA, you will act as the first point of contact for HR queries across the region, supporting employees and managers in LATAM, while working closely with UK HR Services.

This position is recruited locally in Colombia and provides day-to-day HR operational and administrative support to LATAM stakeholders, requiring Spanish and Portuguese as working languages. As the role reports into the UK HR Services team, fluent English is essential for daily collaboration, case management and reporting.

You will play a key role in ensuring accurate HR data, compliant processes and a smooth employee lifecycle experience across the region.

Your job

  • Act as the first point of contact for HR queries via Ask HR (ServiceNow), ensuring cases are accurately classified, triaged and routed to the appropriate HR teams.
  • Sort employees and managers through multiple channels, including ServiceNow, email, phone and MS Teams.
  • Handle more complex HR operational queries (Level 2), escalating to HR Business Partners or specialist teams where appropriate.
  • Maintain accurate and up-to-date employee data across HR systems (e.g. SuccessFactors, Zellis) and local HR employee files, in line with data protection requirements.
  • Ensure payroll-related data is accurate and submitted within agreed deadlines.
  • Support recruitment administration, including preparation of offers and contracts, onboarding coordination, new starter communication and first-day induction activities.
  • Coordinate interviews and support hiring managers throughout the recruitment lifecycle.
  • Process background checks in a timely manner, performing due diligence and escalating issues as required.
  • Administer Right to Work checks and online visa applications.
  • Support the annual IDD and SMCR certification processes, including Fitness & Propriety / Good Repute assessments.
  • Draft HR documentation such as contract amendments, letters and references, including regulated responses, escalating when necessary.
  • Ensure HR administration processes (e.g. joiners, leavers, onboarding) are followed and kept up to date in line with internal policies and procedures.
  • Build and maintain strong working relationships with HR Services, HR Business Partners and the wider HR community.
  • Contribute to HR Services projects and initiatives aligned with Ask HR and HR Operations.

Your Profile

  • Several years of experience in HR Administration, HR Services or HR Operations, ideally within a matrix or international organisation.
  • Fluent Spanish and Portuguese, required to support LATAM stakeholders, and fluent English due to the reporting line and daily interaction with UK HR Services.
  • High level of IT literacy, including experience with HR systems (preferably SuccessFactors or other cloud-based HRIS).
  • Experience working with ticketing systems (e.g. ServiceNow) and managing HR queries in a structured, case-based environment.
  • Strong attention to detail, data accuracy and problem-solving skills.
  • Confident communicator, able to manage stakeholder expectations and understand when escalation is required.
  • Ability to work independently, manage multiple priorities and meet deadlines in a high-volume environment.
  • Exposure to regulated HR processes, compliance-driven environments, process optimisation and the use of automation or AI within HR operations is considered an advantage.
  • Strong Excel skills.
